Retention Policy for recorded video content in Teams

All recordings created using Microsoft Teams and stored on the College’s OneDrive cloud service will be retained for one hundred and twenty-five (125) days after the date the recording was created. After this period, recordings will be automatically deleted without any action required by the user.
The retention period applies to all recordings made through Microsoft Teams or any other College‑approved web‑based video‑conferencing platforms. Covered recordings include, but are not limited to, classroom instruction (synchronous and asynchronous), trainings, meetings, and other College‑related activities.
Users are responsible for ensuring that any recording needed beyond the standard retention period is managed in accordance with applicable College policies and approved procedures.

Do you need your video longer than 125 days?

You can download your videos to the hard drive of your computer to retain a local copy outside of the OneDrive cloud service, or upload the video to Panopto. More information about Panopto, the retention period for Panopto videos, and a guide to getting started with Panopto are all available in the Help Center.

Policy and Retention for Teams chat

Webex is the supported chat application for CCAC. Microsoft Teams chat messages, including one‑to‑one chats, group chats, meeting chats, and channel posts, will be retained for two (2) years from the date each message is created.
Users are responsible for ensuring that any information requiring long‑term preservation is stored in an approved College recordkeeping system. Teams Chat is not an approved repository for permanent or archival records.
